How do I remove team members from a group?
To remove team members, go to the Group Page and click on the “Group Members” tab at the top. From the table, select the team members you wish to remove. Once selected, a message will appear above the table showing the number of members selected, along with a “Remove” icon.
Click the Remove icon to proceed.
A confirmation pop-up will appear, informing you that any learning paths or courses assigned through the group will no longer be available to the selected users if not yet started. You can then choose to confirm or cancel the removal.
What is the purpose of groups?
Groups allows you to segment your Learners based on roles, teams, departments, or specific learning objectives. This allows for easier management of training, targeted content delivery, and tracking of progress for different teams or employee groups.
How do I create and manage groups?
You can create a new group by navigating to the ‘Manage Teams’ page from the side navigation and selecting the "Groups" tab. You can create a new group by navigating to the ‘Manage Teams’ page from the side navigation dashboard and selecting the "Groups" tab.You can choose to:
Add group information only and skip adding group members for another time, or
Complete the full set-up by adding group members.
Once the group is created, you can always return to manage it—edit group details, add or remove members, assign new learning paths or courses, and track group progress. All of this is done from the group's dedicated page.
How do I assign a Learning Path or a Course to a group?
To assign learning to a group, start by navigating into the specific group page. From here, you can assign either a Learning Path or Course using the tabs at the top.
If no content has been assigned yet, you’ll see a banner indicating that there are currently no Learning Paths or Courses assigned to the group. Click the “Assign Learning Paths” or “Assign Courses” button to begin.
Assigning Learning Paths:
Clicking the Assign Learning Paths button will open a pop-up displaying all Learning Paths available in your Manage Learning Paths page. Note that you cannot create new Learning Paths from this flow. Only one Learning Path can be assigned at a time from within the group.
Assigning Courses:
Clicking the Assign Courses button opens the Assign Courses pop-up, where you can browse and select from over 5,500+ in-built courses in our course library. You can assign multiple courses at once using this option.
If you’ve already assigned Learning Paths or Courses to a group and want to assign more, you’ll need to access the “All Actions” menu in the top right corner of the group page. This allows you to assign additional learning at any time.
Where can I track group progress and performance?
To track progress for a specific group, click on the "Reports" tab within the group. This will show stats on the learning paths and courses assigned to that group, with an option to download the report.
To view performance across all groups, navigate to the "Group Reports" tab under "All Reports". Here, you can see which learning paths and courses were assigned to each group.
How do I buy certificates for my group?
You can purchase certificates directly through the LMS Shop, which is accessible via the Manage Certificates page in the side navigation. Additionally, when the certificate balance is zero, reminder banners appear at the top of each page on the dashboard. Clicking the ‘Purchase More’ option on these banners will take managers to the shop to purchase certificates.
How do I allocate certificates to my group?
You can allocate certificates in two ways:
Certificates Report: Go to the Certificates Report tab in a group and click "Allocate" next to a learner request for instant assignment.
All Actions Menu: Select "Allocate Certificates" from the All Actions dropdown in a group. This opens the Certificate Allocation Drawer, allowing manual selection and allocation.
Can I assign certificates to both courses and learning paths at the same time?
Yes, where certificate balance is equal to or exceeds total completed learning in the group, when you allocate certificates to a group it will be awarded to all completed learning. This ensures that both individual courses and courses within a learning path will receive certificates at the same time.
What happens if I don’t have enough certificates to allocate to all completed learning?
If the number of certificates is greater than some but not all completed learning in the group, managers can partially allocate certificates. The remaining unallocated learning paths or courses will be disabled with a tooltip message prompting managers to purchase more certificates.
What happens if I have zero certificates in my balance?
If no certificates are available, you will not be able to allocate certificates from the ‘All Actions’ menu or the Certificates tab. If you try to, a pop-up notification will appear, informing you of insufficient certificates with the option to "Purchase More". Clicking this button redirects the manager to the LMS Shop to buy additional certificates.
Can I schedule assignments for a group?
Yes, you can set schedules for new or existing learning paths or individual courses during the assignment process
How do I add team members to a group?
To add team members, use the "Add Group Members" option from either the kebab menu on the group card or the “All Actions” dropdown inside the specific Group Page.
If the group already has Learning Paths, Courses, or Psychometric Tests assigned, you’ll see a confirmation pop-up informing you that new members will automatically receive all existing group assignments.
From this pop-up, you can:
Select “Add & Assign” to assign the group’s existing content to new members
Or choose “Add & Don’t Assign” to only add them to the group without assigning existing learning or tests
How do I download group reports?
To download a report for a specific group, navigate to the "Reports" tab within the group. Here, you can view detailed information, including the number of learning paths and courses assigned to each team member, their progress, completions, certificates claimed, and study time. Click "Download Group Report" to save this data as a CSV file.
Alternatively, to download reports for all groups, go to the "All Reports" page and select the "Group Reports" tab. This provides an overview of all groups on the LMS, including their total assignments and completions. Click "Download Group Report" to save this data as a CSV file.
How do I edit or delete a group?
Use the options available in the kebab menu or the "All Actions" drop-down on the group page to edit or delete a group.
What happens to assignments when I delete a group?
If learners did not start learning, the assignments will be deleted and not show up in reports on both the manager or learner end. If learners progress in the group-assigned learning, this learning will appear under "All Reports" in the Learning Paths or Course Assignment reports, and learners will retain access under their own accounts.
Can I un-assign a course or learning path from a group?
Yes, as long as the learning is not completed and has no certificates allocated to it. Unassigning moves the assignment to "Self-Enrolled" tab in learners' environments and updates the learning to "Self-Enrolled" learning in the All Reports section on the manager's end.
What happens if learners have progressed in a Learning Path or Course but it is unassigned?
Learners with progress: Their progress will still be retained but will move to Self-Enrolled Learning Path report, or Self-Enrolled Course report
Learners with no progress: The Learning Path or Course is removed entirely from their profile.
Why can’t I delete a Learning Path in Groups?
Learning Paths are created and managed centrally on the LMS under the Manage Learning Paths page — not within individual groups. Because of this, they cannot be deleted from the Groups page directly.
If you no longer want a Learning Path to appear in a group, you can simply un-assign it. To permanently delete a Learning Path, you must do so from the Manage Learning Paths page.
When can’t a Learning Path be un-assigned?
A Learning Path cannot be unassigned if certificates have already been allocated to it.
This restriction helps maintain the accuracy of report metrics. Once certificates are allocated, they cannot be revoked or reassigned, which is why the un-assign icon is disabled in these cases.
When can’t a Course be un-assigned?
Similar to un-assigning Learning Paths, individual courses can’t be unassigned in the following cases:
If the course has been completed.
If a certificate has already been allocated to the course.
This restriction ensures the integrity of report metrics. Additionally, once certificates are allocated for an assigned course, they cannot be revoked. This is why we do not allow un-assigning and disable the unassign icon in this case
Can the same course or learning path be assigned to multiple groups?
Yes, and progress is tracked individually for each group.
What happens if a Learning Path or Course is unassigned in one group but is still assigned in another group?
If a Learning Path or Course is unassigned from one group but remains assigned in another group:
For learners in both groups: The learning remains as an active assignment, and their progress continues to be tracked under the assigned group.
For learners only in the group from which it was unassigned: Their learning progress moves to Self-Enrolled Course reports, as it is no longer part of any assigned group.
What happens if learners have progressed in a Learning Path or Course but it is unassigned?
Learners with progress: Their progress will still be retained but will move to Self-Enrolled Course reports, provided the Learning Path or Course is no longer assigned in any group.
Learners with no progress: The Learning Path or Course is removed entirely from their profile.
