The meeting are organized differently depending on the purposes of the meetings of the leadership style appropriate for the meeting and the personality types of the members of the teams.
The three meeting are action item, management and leadership.
Action Item meeting focuses on short term priorities to develop the common understanding of what short term of the project, individual roles and expectation on specifics activities. This type of meetings is for sharing but not for problem solving and any any problem emerged from the discussion is assigned to a person or be shared in the next meetings. Action Item meeting focuses on short term priorities and usually in lesser than a week in durations which based on fact information, brain type focus,except asking clarification questions and any disagreement is met in another meetings. The project manager keep the successful Action Item meeting focuses on short term priorities on data ,actions and commitments where team member are satisfied by feeling and judgement .
Management meeting are longer in duration and are focuses on planing, tracking the progress, making adjustment toward new information, data that are based on quantitative information leading to interpretation and the disagreement is encouraged to develop deeper understanding in the information and data adjustment in midterm goals. For larger or complex project the goals may be monthly or quarterly and smaller project is done weekly. Example of the goal are developing the procurement long lead item and critical dates, developing a human resources plan that identify critical position, developing and building agreement with the client about the project scope of work. The project manager allow and encourage discussion on the developing and evaluation on the project goals and identifying obstacles and it solutions
Leadership meeting focuses on longer term issues and are held less frequently and are longer in length. The meeting are used by the project manager to check skills on the relationship withe client, team vendors and project stakeholders by creating the right atmosphere where the meeting is sharing information and clarification based on data and facts about the project progress that focuses on project mission and culture.
