I found it useful to maintain a record of discussion with SMEs in terms of Minutes of Meetings (MoMs). If the SMEs are very busy, it is useful to set up an email follow-up system. This ensures you have records of communication as well as references for the future.
Working with Subject Matter Experts (SME).
Since in most cases Instructional Designers are not familiar with the content for the project, they must obtain that content from the Subject Matter Experts (SMEs). However, it is a good idea to only use SMEs with recent experience in the subject area.
When working with Subject Matter Experts, it is important to remember the following rules:
1. Don’t expect your SME to know the adult learning theory.
When Instructional Designers meet with SMEs, they should not talk about different learning theories and theorists.
2. Present good examples of what you think will work. Try to focus less on the information and more on making information meaningful.
When working with SMEs, Instructional Designers should focus on relevant interactivity. When showing sample courses, it is a good idea to point out what would work for their course. In addition, Instructional Designers should not present more than three ideas at a time.
3. Receiving content from the SME -
Instructional Designers should first listen to the SME. Then, ask questions to get additional information. They should also create a template for SMEs with the following sections: questions, objectives, content. Instructional Designers should remember that SMEs like to overcomplicate things. One way to avoid overcomplicating the material is to ask SMEs to explain what they know in just a few sentence or screenshots.
4. Everyone wants to succeed.
One of the ways to save time and money on your projects is to establish expectations. Most SMEs do not have a lot of time to work with Instructional Designers. Therefore, it is important to make a list of action items and agree upon timelines during the first meeting.
