    The flow of information between team member and the stakeholders is managed by rules set forth in the communication plan. When a person join an existing organization, one of the early task is to learn the work process of the organization like where to find or generate , storage of information, the meeting schedule and what report are require. The project leadership team develops an understanding needs to provide the right information at right time and to the right people that reflect the organizational culture and communication. Crucial information can be lost or delayed in a complex project if communication plan is not functioning properly. The information requirement that determine communication technology is methods for gathering project information like report, meeting and document flowchart. The document control system in a large organization allow it to create, distribute, storage, transmit document and retrieved information that is needed by the project team members and stakeholders. In an existing organization, there is always a gatekeeper of information who know how to find it when meeting are scheduled and what report are required. In new project. The project manager can create new flow of information and reporting requirements. More complex project require more sophistication communication plan. A Communication matrix is a table that shows name of people as column and rows heading and the types of document as rows and column as heading. In the cells where the name and document intersect, a symbol indicate the person responsibility or access with regard to that document type. File name are store in computer that can be sorted alphabetically and can be used as code to describe the content of the file. Part of the name can be used to identify the category, location, subject, author and the date. File name convention should be used that matches those used by the parent organization or by the clients.
